Administrative Assistant, Service Unit, GIZ Türkiye (Ref. Code: AA/SU1225)


Main Responsibilities

Administrative & Organizational Support
- Ensure efficient day-to-day operations and information flow within the project and with the Country Office.
- Organize workshops, events, seminars, study visits, and partner travel, including duty trip expense processing.
- Manage translations, coordination with translation companies, and related payments.
- Maintain the project’s data and filing systems, including inventory tracking with the On-Site Asset tool.
- Provide continuous support to advisors with On-Site Reporting/Operations and preparation of the KOMP report.

Financial & Accounting Support
- Support monthly accounting, financial planning, and monitoring of financial open items (e.g., obligos/commitments).
- Process local payments and conduct daily invoice checks, processing, and record-keeping.
- Ensure complete and accurate financial documentation for internal controlling and external/internal EU audits.
- Review staff travel expenses and fund requests prior to approval.
- Collect and organise invoices and supporting documentation.

Procurement & Contracting Support
- Assist in procurement of goods, equipment, and services in line with GIZ and EU regulations.
- Contribute to maintaining a strong internal control system, including separation of functions and compliance with the Code of Conduct.
- Ensure proper application of procurement rules and EU sanctions list checks.

Administrative Coordination
- Support coordination of project infrastructure (facility management, logistics, fleet management, IT services) in consultation with the line manager and country office.
- Perform other project-related tasks as assigned by the Head of Service Unit I.
İstenen Yetenek ve Uzmanlıklar
Required qualifications, competencies, and experience

- University Degree in Accounting, Finance, Business Administration or in a relevant field,
- At least 1 year of professional experience in accounting and financing, in the private sector, NGOs and /or an international organisation, dealing with different forms of financial management, contractual and administrative procedures
- Experience in the context of EU-funded projects is an asset.
- Advanced IT skills (Microsoft Office Suite).
- Fluent in English; knowledge of German is an added value.
- Strong communication and interpersonal skills.
- Excellent coordination and facilitation skills.
- Proactive and team-oriented mindset with attention to details.
